We are seeking a capable and personable Receptionist/Administrator to join a lovely local team providing personalised care and building lasting relationships with clients and families. This role is 5 days a week, 9am - 3pm with the flexibility to fill in for other staff as needed.
This varied role also includes administration support, reception, and client services such as receiving personal effects, and providing information. You will handle invoice payments and EFTPOS, respond promptly to client enquiries and support with day-to-day administrative tasks.
THE ROLE INCLUDES:
Answering phones and welcoming people to the funeral home
Taking messages, making appointments and responding to enquiries
Providing information and brochures to families and the public
Receiving and recording funeral items such as clothing, music and photographs
Assisting with viewings and preparing viewing rooms
Processing payments and operating EFTPOS
Proofreading service sheets, notices and other funeral documentation
Scanning and uploading documents and maintaining client files
Assisting families with the collection of ashes and associated documentation
Supporting funeral directors with transfers, funeral services and post-funeral duties
Collecting and delivering documents and other items as required
Scanning, editing and preparing photographs, videos and music for funeral services
Preparing service sheets and other printed materials using Powerpoint and graphic design software
Data entry and preparation of funeral documentation
Assisting with pre-planning and pre-payment administration
Undertaking other tasks that help keep the funeral home operating smoothly
Warm, friendly and sociable, with a genuine heart for helping people
Emotionally intelligent and able to recognise that families may be experiencing difficult and sensitive circumstances
Calm, respectful and professional when dealing with the public
A natural problem solver with a positive “can-do” Kiwi attitude
Flexible and open to change – someone who looks for solutions rather than reasons why something can't be done
Comfortable working independently and taking responsibility when required
Organised, reliable and attentive to detail
Confident with IT, including experience using MSOffice and Powerpoint, with the ability to pick up new software including audio-visual programs
Comfortable setting up and operating audio-visual equipment
A confident driver with a current full NZ driver's licence, including the ability to reverse and manoeuvre vehicles safely in difficult situations
Physically capable of lifting and carrying up to 35kg independently
The ideal candidate is reliable, highly organised, detail-focused, and client-centred, with strong communication skills and the ability to prioritise effectively. You will enjoy working collaboratively, maintaining confidentiality, and contributing to positive client relationships.
